Guidance for GROUP LEADERS

USING THIS WEBSITE - A NOTE FOR GROUP LEADERS
This is YOUR website. It is YOUR window on the world. Today's retiring population are all thoroughly experienced in using the Internet, the World Wide Web, personal computers and email. You have a responsibility to keep the data on your group page meaningful, up to date attractive and interesting.
So each group page should "sell the sizzle" for your group. Group leaders are heard to complain that their group is full and can take no more members. Great! So split the group into two fresh groups. Without an attractive presence on the internet we are in a position to attract neither new members nor new group leaders. Your free text (like this) can introduce links to other exciting entries and to photographs, or even videos. If you need any help or would like it done for you, just email the WEBMASTER and watch it all happen!

MEMBERSHIP OF EAST GRINSTEAD U3A
You can check the membership of your group by looking up their names on this file ==> PAID UP MEMBERS FEB 2019: if they are on the list they are paid up - if not, they still need to! (Updated 4th February 2019)

WANT TO LOOK AFTER YOUR GROUP'S PAGE?
No problem! You can be set up to add, remove or edit your own group page. So as group leader you will be able to upload photos and documents such as newsletters, or reports on your group's activities. Just contact Webmaster John Wells by email, phone or in writing if you would like to take the reins of control! You will be told how and where to edit your very own page.
And if you ever forget where to go, the link is ==> u3asites.org.uk/code/login.php

STARTING OR CHANGING GROUPS

STARTING A NEW GROUP - CHECK LIST
A group needs to have a GROUP LEADER, but can have any number of members. The number of members to be attracted will determine the size of venue for your meetings.
Whilst our policy is to encourage all new groups to flourish, it is important that the chosen venue is not too large for your needs. We don't police your profit and loss from meeting subscriptions, but we will provide guidance to ensure that the venue charge is reasonable.
Your new group needs to be advised to the GROUPS COORDINATOR, who will be pleased to to help you with any administrative details.
You will need to decide upon the day, time and frequency of your meeting.
The WEBMASTER will help you with any of the following three items:
- 1. You will need a new GROUP PAGE on the website
- 2. The new web page has to have some introductory text written about the group. You can do this yourself if you are set up as a PAGE EDITOR
- 3. Your web page needs a CONTACT EMAIL ID.
The MEMBERSHIP SECRETARY controls the lists of GROUP LEADERS and MEETING TIMETABLES. You must advise your new details to the MEMBERSHIP SECRETARY.
Plan actively for succession. Always keep in mind who should take over from you as GROUP LEADER!

CHANGE OF GROUP DETAILS - EXISTING GROUPS
If anything concerning the group changes you must advise the changes to the GROUPS COORDINATOR and the MEMBERSHIP SECRETARY. For example please notify us if you change time, date or place of meeting on anything other than a temporary basis. A change of GROUP LEADER is also an important issue.

CHANGING YOUR ADDRESS, EMAIL ID, PHONE OR MOBILE DETAILS
- Group Leaders must promptly advise any personal information changes to the MEMBERSHIP SECRETARY.
- Contact email ID changes must be sent to the WEBMASTER

CLOSING A GROUP
If the group appears to be faltering, or if the venue ceases to be available, or your personal circumstances change, don't immediately decide to close the group.
It may well be that your group could find another venue or amalgamate with an allied group. Or perhaps you can find a replacement group leader. Discuss problems openly with your group and keep the GROUPS COORDINATOR advised.
