Group Leader Resources

To achieve the necessary duty of care to all members of each activity the Third Age Trust recommend a process of Risk Assessments (RA) for activities as the way of complying with the overall insurance requirements.

A RA is to ensure that all members’ participation is safe. The Committee, Group Leaders, or those responsible for a meeting or event, must complete a risk assessment to identify any risks, and explore how they could be mitigated. Some venues used for meetings/events should already have their own risk assessment. These should be reviewed and where mitigations identified, ensure they are actioned. The Wymondham u3a RA only has to be a basic checklist as the insurers will not expect the members/group leaders to be an expert. In the event of an insurance claim the insurers will ask to see evidence of a Risk Assessment.

To keep the process as simple as possible the necessary resources have been provided. Each Group Leader needs to be aware of the requirements of the Wymondham U3A Health and Safety policy before completing a RA Form.

N.B.1. These are the generic RA forms that cover the range of activities undertaken by Wymondham u3a members. They are:

Click: Day Trips and Holidays; Private Houses; Public Venues; Visits; Walks; Personal.

N.B.2. Each RA form is supported by Guidance Notes on what to consider for mitigation and can be accessed by the links on the right of this page.

N.B.3. Once the RA has been completed a copy should be sent to the Groups Co-ordinator for filing and storage in case of an insurance claim. You can either email it, bring it to the next meeting, or send by post to:
Wymondham u3a, c/o Wymondham Central Hall, Back Lane, Wymondham, NR18 0QB.

There is always a chance that as part of an activity, a group member may require assistance due to injury or illness. These situations may require someone from the group to notify family or friends. It is therefore important that at the creation of a group, and with subsequent changes of membership, that the Group Leader creates and maintains an emergency contact list for the group. This information may well need to be shared with all members of the group depending on what the activity is and how it is operated, such as smaller groups, different parts of a large venue, etc. Our u3a is covered by A Legitimate Interest Assessment (LIA) to cover the collection of emergency contact data.
