SWN Email Addresses

Because it is proving difficult keep up to date the mailing list used by the Network to communicate with our member u3as, we are requesting you set up a dedicated address that we can use.

1. If you don’t already have a dedicated e-mail address as the network contact, but your u3a has an account with an Internet service that provides you with email services and a dedicated domain address (such as ?????@youru3a.org.uk), the member who looks after it should be able to set up an address like network@youru3a.org.uk for you.

2. If you do not have available dedicated domain addresses, there are various companies that will provide an address for you, free of charge. Some free services are -

  • gmail.com,
  • outlook.com,
  • mail.com,
  • yahoo.com.

They are simple to set up – just click on the link and follow the instructions. Set up a name such as youru3a-network@gmail.com the part before the “@” should contain the name of your U3A. The rest does not really matter, but it is probably a good idea to include something like “network” or “net”.

When you set up the password do not use the one that you use on your personal account. Make sure that you let another member of your committee have a copy of the password and email address (and also tell them when you change the password). You must remember to pass on the login details of the account to your successor, if you give up the network role.
The emails using addresses such as those shown above can be accessed through their webmail sites – to read and send emails.
You may however prefer to automatically forward emails sent to this address, to your own personal email and send a reply using your personal email
This is how you set up automatic forwarding from a Google account.
If you use a software program on your computer (or a software app on a tablet or phone) you can set up an account on it to access the imap server used by your U3A, or the third-party service you use. If you want to send out a mail from the software, you should set up an account on the smtp server as well. Details of how to do this on third party service will be found on their website (or by using a search engine). There may even be a You Tube video to help.

3 Send this email address to SWN Information The addresses will only be used for distribution Network Information by the Committee. You may, of course, make your email address available to other u3as and third parties if you wish to.
