Our policy regarding the way in which we store and use members' information was approved by the Committee on 2 June 2020 as set out below:

  • The only data collected centrally from members are their addresses, ‘phone numbers and email addresses.
  • All membership records are held on the Bourton & Distinct U3A’s Beacon Membership Management System. The Beacon system was designed by the Third Age Trust and is widely used by U3As throughout the UK; it is understood to be GDPR compliant.
  • Access to this information is controlled by the Webmaster.
  • It is used routinely by the Membership Secretary and access is provided to other Committee members as and when required for the performance of their duties.
  • Access is also available to Group Organisers to enable them to contact members of the Groups for which they are responsible.
  • Members' addresses only are sent to the direct mail company Alpha Response and to U3A National Office from time-to-time for the sole purpose of mailing members' newsletters or other approved documentation. Both companies are understood to be GDPR compliant.

The Committee will review these procedures at least annually.

Any member who is unhappy with their data being stored and used in the way described above, should contact the Membership Secretary or any other Committee Member and has the right to request that we remove or cease to share their data at any time.
