Message to all Group Contacts from Group Coordinator

Dear Group Leaders and Contacts,

As lockdown is beginning to be relaxed a little, some Groups, which would operate outdoors, may be thinking about getting started again, below is a Risk Assessment form and some guidance on its use.

The form is intended to be completed by a Group Contact and then circulated to the group so that each person can consider their own situation before deciding for themselves to attend or not attend. All those who decide to attend an event shall return a completed risk assessment to the Group Contact by email before the event. Group contacts should keep these until after the event - I would suggest at least 4 weeks after to be on the safe side.

The advice is:
• Any U3A wishing to restart activity must carry out an appropriate risk assessment/checklist to ensure the activity is safe for members to participate in. The conclusion of the risk assessment/checklist will determine what actions must be taken to make the activity safe or conclude it is not yet safe to restart even with additional measures in place. Government guidelines continue to be central to any risk assessment and must be adhered to. Each U3A activity, venue and circumstance is different and must be assessed as such.
• Whilst lockdown restrictions have been eased recently it is clear only very limited outdoor U3A activity can even be considered at present. Even whilst an activity may be managed so that it is deemed safe to restart, your members should consider separately if it is sensible to run the activity or take part.

Message to all Group Contacts from Group Coordinator

Dear Group Leaders and Contacts,

With the COVID restrictions beginning to relax the Committee have thought some Groups may be wishing to try and restart their meetings. However, as some Groups meet in each other's homes or in small meeting rooms. These clearly cannot allow for social distancing to be safely conducted. The Committee has decided to cover the costs of hiring larger meeting venues (e.g. village halls), from the funds of Soar Valley U3A. We have spoken to Normanton on Soar Village Hall and they are prepared to take bookings from us subject to maintenance of 1.5m spacing. We do not think it would be a good idea to try and offer tea / coffee for the present but people can bring drinks from home if needed.

We wanted to ask you the Group Leaders/Contacts what your thoughts are regarding this suggestion for your Group.

Do you want to physically meet?
If so, how many people?
How often?

Could you please reply to me by Wednesday 29th July so that we can confirm things before the next newsletter is due to be published. If there is an overwhelming response, we may have to ask groups that wish to meet weekly to meet less often whilst this arrangement is in place in order to control costs.

We have just received the following message from U3A National Office

"Following the Government and NHS announcement that England will be going into lockdown from Thursday 5th November for four weeks, we wanted to send out an update to say all U3A face to face activity in England should cease over this period in line with the guidance."
