Monday 19 October 2020 saw our postponed AGM take place on Zoom. This was the culmination of three months work by a specially set up AGM Working Group who followed the directions for online AGMs, prepared documents for the meeting and designed forms that members could fill in and return online. More than 50 sets of forms were returned, fulfilling the requirements for a quorum and ensuring that our decisions were approved by the membership. As the number of proposals for the committee equalled the number of vacancies, the members proposed and seconded, there was no need for a ballot.
At the first meeting of the new Executive Committee, which followed the AGM, the committee roles were decided as shown below.

Four members left the Executive Committee at the AGM. I am sure I speak for all the members when I say how very grateful we are to Niddy Walpole, Joan Watkinson, Angie Harrison and Nigel Day for their work for us in their various committee roles over the past eight years. We are also grateful to Rosemary for her years of service as Secretary, which she has relinquished although she remains as a committee member for another year.

The unusual circumstances caused by the Covid-19 lock-down prevents face-to-face meetings so the Charity Commission has given permission for U3As to go outside their normal constitutional arrangements for holding an A.G.M. Your Executive Committee decided at a meeting held on 17 August 2020 to proceed with the A.G.M. this year on a purely ‘postal/email’ basis.
This is formal notice therefore that the Newmarket University of the Third Age A.G.M. will be held on 19 October 2020 at 2.30pm via Zoom. Members may attend as observers only. If you wish to observe via Zoom please register your interest before that date with the Secretary, Rosemary Foreman (details below).
The papers for the A.G.M. are being sent to you by email or by post, where no email address is available, on or before 31 August 2020. All documents will also to be available on the Newmarket U3A website under the AGM 2020 button.
All reports which would normally be presented face-to-face at an A.G.M., and are necessary for informed voting, will take the form of written reports and all the documents will be available also on the website. Group Co-ordinator reports will be published on the website and in a future E-NEWS.
