We had 6 members in the room and two on zoom . The photos were presented using PowerPoint, but any software could have been used and we ended up having a discussion illustrated by a live demonstration of photo editing.

In the room we wanted a nice bright display and we were able to use a 42 inch TV, which also provided the sound. For the sound for the zoom participants I did have access to multiple microphones and associated mixing desk but in the event we purchased a usb conference microphone which was extremely effective and simple to use.

I had a spare USB webcam purchased some time ago, enabling us to have a view of the members in the room.

To set up the system the conference microphone and usb camera were selected in preference to those built in to the laptop. It is also necessary to ensure that HDMI is chosen as the loudspeaker.

Observations. The usb camera mounted on the top of the TV did not have a wide enough field of view. I will put it further away next time and experiment with using my mobile phone as a more flexible solution.

A monitoring, muted, phone, tablet etc. would have given confidence exactly what the zoom participants were seeing.

Don’t forget to include the zoom participants in the general chat during the coffee break, and don’t leave screen share on when it’s not required.
